Living at The Warehouse Apartments

What communal spaces are there to enjoy?

In the main reception area, there is a welcome desk for parcel deliveries managed via your student portal, a postbox for each apartment, an onsite laundry room, and a Home Room with lots of facilities to enjoy with your friends and flatmates.

The Home Room includes a large smart TV with streaming services in front of comfy sofas, a high-top table perfect for studying and catching up with friends, a kitchenette equipped with a kettle and microwave, and a pool table that is free of charge for residents to use.

The Warehouse Apartments is made up of individual apartments, with each apartment enjoying a fully-equipped communal kitchen and lounge space with sofas.

You’ll also be able to enjoy a fully inclusive and free-of-charge social calendar – you can view the upcoming events here and sign up through your online student portal at any time.

Are guests permitted to stay overnight?

Overnight guests are permitted at The Warehouse Apartments; we ask that you respect our rule of welcoming guests for no more than three consecutive evenings.

We strongly recommend that you discuss any plans with your flatmates beforehand. Not everyone is comfortable with finding strangers in their home such as in the communal kitchen and lounge, but a little forewarning can help to ease any conflict.

Please note that you are responsible for any guests, including liability for any charges as a result of damages to the building caused by your guest.

Are my bills included in my rent?

Yes, all household bills are included in the cost of your weekly rent so you don’t have to worry about budgeting for those.

These include:

  • Electricity
  • Water
  • Contents insurance
  • High-speed broadband
  • 24/7 reception service

Please note: this does not include council tax. Students can be exempt from paying council tax while in full-time education, but you do need to apply for a student discount/exemption.

Please contact the local council as it is your responsibility to understand what your personal situation is in regard to paying council tax.

Do I need to pay council tax?

While we are happy to assist where we can, Warehouse Students is unable to provide advice on your personal situation or be held liable for any payments or council tax statements that you receive.

Can I swap or change my room?

Before signing your tenancy agreement, it may be possible to change the room you have selected if a different room is available.

After you have signed your tenancy agreement, it may still be possible but it would fall under the cancellation policy/tenancy transfer – as you are making changes to your signed tenancy agreement. 

Please note that there will also be an admin and cleaning fee associated with the room move.

Please speak to a member of your site team and we will always be willing to try and help.

What if I have a disability or special requirements?

Our top priority is ensuring you have a comfortable and safe stay with us.

Please share any medical information or disabilities with us on your booking application.

We have a selection of accessible rooms available; please ensure you request this room type (DDA) and let us know of any further requirements so we can ensure your room is suitable.

Can I have a dual occupancy tenancy?

A dual occupancy is one tenancy for two people, living in one ensuite room. This means that two occupants are sharing one ensuite room, and splitting the cost of the rent.

This is an option on some of our ensuite rooms, but please note that there is an additional charge for a room with dual occupants; this is to cover the cost of the increased services used within the building during your stay.

Bookings

How do I make an online booking?

It’s easy to complete an online booking with us. From our website homepage, click ‘Book a Room’, and then select your location.

From here, there are some choices for you to make:

  • Choose your room type – e.g., Classic Ensuite
  • Confirm if you are a full-time student
  • Choose your tenancy length – e.g., 51 weeks
  • Choose your payment terms – e.g., annually/instalments
  • Choose your gender mix preference – e.g, mixed
  • Choose your room preference – e.g., block B
  • Select ‘Book this room’

If you wish to make any changes to your booking during this time, you can do so by selecting ‘Change my selections’.

You have 30 minutes to complete your booking before the room will be released. Once you’ve completed the steps above:

  • Complete your booking details on the next page, such as name and current address
  • Read through the terms and conditions of your booking carefully, and then click accept
  • Finally, select ‘Confirm your booking’

You will then receive an automated email from us with information on the next steps.

When is my booking secure?

Once you have signed the Assured Shorthold Tenancy Agreement and paid your Advance Rent (where applicable) your booking is secure with Warehouse Students.

Please note: If you are paying by instalments and require a guarantor, they must also sign the Guarantor Agreement to secure and complete the booking before it is secure.

How does my guarantor sign the agreement?

Once you have accepted the terms and conditions and confirmed your booking, your guarantor must do the same to secure and complete the booking.

  • Ask your guarantor to check their inbox – there will be an email from us with a link to their guarantor agreement
  • Your guarantor must read through the terms and conditions of the agreement and sign it
  • Once we have received the above, your booking will become complete

Please note, if you are paying your rent annually you are not required to assign a guarantor and do not need to complete this step to secure and complete your booking.

How do I access my student portal?

Warehouse residents get exclusive access to our free online portal. The portal contains all the information you need, including rent payments details, your tenancy agreement, maintenance logs, delivery notifications and details of our exciting events calendar. To access it:

  • Visit the Warehouse Students website
  • Click ‘Sign in’ – this is at the top right corner of the page
  • Sign in using your login credentials – please refer to your welcome email if you can’t remember your details
  • If you are taken back to the home page, click the “Account” button that has appeared at the top right corner of the page to return to the portal

TOP TIP: Access the Warehouse studemt portal easily from your smartphone

  • Visit the Warehouse Students website on your phone’s pre-installed web browser (e.g., safari/internet browser, NOT Google Chrome)
  • For iPhone: Click the share icon, and then ‘Add to Home Screen’
  • For Android: Click ≡, then +, then ‘Add to Home Screen’
  • This will create a new icon on your phone’s home screen that looks like an App

How do I cancel my booking?

Before 1st August

Once you have entered into the tenancy agreement with Warehouse Students, you are liable for the contractual obligations set out within it and may only cancel under certain circumstances.

If you wish to cancel your booking before August 1st and you have not already collected your studio keys, you can do so at any time during the 7 days after we send your booking confirmation email.

After 1st August

Once you have entered into the tenancy agreement with Warehouse Students, you are liable for the contractual obligations set out within it and may only cancel under certain circumstances.

If you wish to cancel your booking after August 1st and you have not already collected your keys, you can do so at any time in the 24 hours after we send your booking confirmation email.

Can I cancel my booking after the cooling off period has passed?

Can I have an overseas Guarantor?

Unfortunately, we cannot accept an overseas guarantor. If you wish to pay your rent in instalments, you will need a UK guarantor.

Warehouse Students only accepts UK guarantors and does not accept overseas guarantors.

If you do not have a UK guarantor, you must pay your rent in one instalment at the start of your tenancy agreement.

Alternatively, we can recommend a third-party company that can source a UK guarantor on your behalf. Should you wish to use a third-party company, please note that they are in no way affiliated with Warehouse Students.

Can I sublet (tenancy takeover) to/or from a friend?

You are not permitted to sublet any part of your accommodation, as per your accepted tenancy agreement. However, if you need to move out early due to extenuating circumstances, you should contact the Warehouse team to discuss the option of a tenancy takeover and the process of doing so – including any associated admin fees.

Please note that tenancy takeovers are at the sole discretion of the Warehouse Students management team and should not be assumed as automatically granted. Any decision made by the management team is final.

Payments

How do I make a rent payment?

All our online payments are completed via direct bank transfer.

  • Log on to your student portal
  • Go to Tenancy > Account
  • Find our Bank Transfer account details below your account summary
  • Please note, it can take up to 5 days for your payment to show on the Warehouse portal

How do I pay my security deposit?

Close to the start date of your tenancy agreement, you will receive full details of how to make payments associated with your booking.

You can also check this information by logging into your student portal and checking your ‘Account’ section.

For guidance on accessing your student portal, please refer to the ‘Booking’ section above on this FAQs page, and navigate to the ‘How do I access my student portal’ section.

How do I make a rent payment from overseas?

Making rent payments from overseas is completed via the same process as outlined in the ‘How do I make a rent payment?’ tab above. Please refer to this tab for full details.

What happens if my student loan does not arrive before my rent payment is due?

If, for any reason, your student loan does not arrive in time to make your rent payment, please do not worry – we can amend the dates for you without any hassle or extra charges.

To do this, we just need to see proof from the Student Loans Company (or similar) that this is the case. We expect this usually to be in the form of an official letter or email communication from the Student Loans Company (or similar).

When is my first rent payment due?

Keep an eye on when your tenancy deposit and first rent payment are due via your student portal. This information can be found on your portal under Tenancy > Account.

Both payments are usually due no later than 4 weeks before your tenancy agreement begins.

I am paying my rent in instalments - what are the instalment dates?

The due dates of your rent instalments can be viewed at any time on your portal under Tenancy > Accounts.

I’ve made a payment - but it’s not showing on the portal. Why?

Please be aware that the portal isn’t directly connected to our accounts, and needs to be updated manually by our accounts team. Therefore, please allow up to 5 working days for this to be reflected on your account.

Arrivals

What do I need to do to prepare for moving in?

Before you arrive at your new apartment, there are a couple of tasks that must be completed.

Many will already have been completed, including providing contact details.

You must pay your tenancy deposit, and also your first rent installment before arriving to check in.

Details of this can be found on your student portal under Tenancy > Account.

How do I book an arrival time?

So we can prepare for your arrival and help you move into your new apartment as soon as possible, you must let us know your desired date and time of arrival.

This can be done via your portal two weeks before your tenancy begins with us. There will also be a link in your arrival email which you will receive closer to the time of your tenancy begin date.

Arriving at The Warehouse

ARRIVING DURING CHECK-IN WEEKEND: Saturday 09:00-1700

When you arrive please make your way to reception and a member of our team will check you in.

ARRIVING AFTER CHECK-IN WEEKEND (DURING OFFICE HOURS): Mon-Fri 09:00-17:00

Please press the intercom button marked ‘Reception’ to the right of the main entrance doors. This will alert the team of your presence and they will come and meet you, check you in, and hand over your keys.

ARRIVING AFTER CHECK-IN WEEKEND (OUTSIDE OF OFFICE HOURS): Mon-Fri 17:00-09:00 / All day Saturday-Sunday

When you arrive, you will need to call the security helpdesk using the telephone number 0300 124 5668 telling them you wish to check in to The Warehouse Apartments. They will then instruct the out-of-hours team to come and let you in and hand you your keys.

On the next working day, please make your way to our reception to meet with the site team so that they can provide you with a fire drill update and provide further information on the building, etc.

Can I check in outside of site team hours?

Yes, of course. We understand that you might need to check in at any time of the day – that’s why we have 24/7 service over the check-in period. However, must notify us of your arrival if you plan to arrive outside of these hours.

PLEASE NOTE: The check-in process is slightly different for arrivals outside of Warehouse Hours 09:00-17:00, including weekends EXCEPT for check-in weekend.

What do I need to bring with me to check in and collect my keys?

Provided you have completed all of the steps outlined in the ‘What do I need to do to prepare for moving in?’ tab above, all you need to bring with you to collect your new key is:

  • A copy of the first page of your tenancy agreement
  • Photo ID (e.g., a passport or driving license)
